What a quote needs to win work

A quote is a sales document. The customer is comparing you with two other people, so make yours the easiest one to say yes to.

A price broken into lines

One number for the whole job makes a customer wonder what they are paying for. Lines they recognise — prep, materials, labour, disposal — let them see the value instead of guessing at it.

A date the price expires

Say how long the price holds. Material costs move, and a quote with no end date can come back at you months later at a price that no longer works.

What the price does not cover

The notes field is the cheapest insurance you have. Spell out what is excluded — permits, unseen rot, moving furniture — before the work starts, not after.

The tax shown on its own line

Show the amount and the tax separately, with the rate you charged. The rate follows where the work is done, not where your business is registered. Where HST applies, show the one combined rate.

A deposit you ask for up front

If you want money before you start, say so on the quote. Put the amount in the deposit field and the balance owing is worked out for the customer.

Your own numbering run

Keep quotes on their own run, like QUO-1001, separate from your invoices. A quote and an invoice sharing a number is how a customer ends up paying the wrong one.

In everyday use a quote is a firm price you intend to stand behind, and an estimate is your best guess that may move once the work opens up. Whichever you are sending, say so in the notes and give the price an end date, so nobody is surprised later.

Thirty days is common, and shorter is sensible when material prices are moving. Put the date in the "Valid until" field so it prints on the page rather than living in your head.

If you are registered, yes. A customer comparing three quotes wants to know the number they will actually pay, and a price that quietly excludes tax reads as the cheapest right up until the invoice lands.

Yes, in the four provinces that charge one. Pick British Columbia, Saskatchewan, Manitoba, or Quebec and a tick box appears for the provincial tax, which then prints on its own line beside the GST. It is off until you tick it, because in most of those provinces the tax lands on materials and not on labour, and which side your job falls on depends on the trade. A customer comparing quotes wants the number they will actually pay.

Your business details, your province, your notes, and the next quote number, all kept on your own device. Customer details and line items start blank, because the next job is a different job. Clearing your browser data or using a private window resets it.
