What a Canadian contractor invoice needs

An invoice gets you paid, so it has to be easy to read and hard to argue with. Here is what belongs on the page.

Your business details and GST/HST number

Name, address, phone, and email so the customer knows who to pay and who to call. If you are registered for GST/HST, your number goes on the invoice as well.

A number nobody has seen before

Give every invoice its own number and never reuse one. This tool remembers the last number you sent and fills in the next one for you.

Two dates that set the clock

The date you sent it and the date you want to be paid. Without a due date, "soon" is whatever the customer decides it means, and that is usually longer than you had in mind.

Line items a customer can follow

Break the job into lines the customer recognises, with the quantity and the rate on each one. One line that says the whole job invites questions and slows the payment down.

The tax shown on its own line

Show the amount and the tax separately, with the rate you charged. The rate follows where the work is done, not where your business is registered. Where HST applies, show the one combined rate.

A deposit credited properly

Money already paid comes off what is still owed, and the total stays as it was, so the tax still adds up. The balance due is the figure your customer acts on, so give it its own box.

Questions about invoicing

Yes. No account, no email, and no limit on how many you make.

Only if you are registered. Most small suppliers do not have to register until their revenue passes $30,000 over four calendar quarters. Once you register you charge the rate for the place the work is done, and it goes on its own line.

Yes, in the four provinces that charge one. Pick British Columbia, Saskatchewan, Manitoba, or Quebec and a tick box appears for the provincial tax, which then prints on its own line beside the GST. It is off until you tick it, because in most of those provinces the tax lands on materials and not on labour, and which side your job falls on depends on the trade.

Pick a run and stick to it, like INV-1001, INV-1002, and so on. Never reuse a number. This tool remembers the last one you downloaded on this device and fills in the next, and it keeps quote numbers on a separate run.

Choose "Deposit paid" and type the amount. It comes off the balance owing, not off the subtotal, so the tax on the job stays right. The invoice then shows the total, the deposit, and the balance due.
